RESPONSIBILITIES
Executive & Administrative Support • Manage the COO’s calendar, scheduling meetings, travel arrangements, and event coordination. • Prepare reports, presentations, and executive correspondence. • Take meeting minutes, track action items, and ensure follow-ups. • Handle confidential information with discretion and professionalism. • Serve as the primary point of contact for internal and external stakeholders.
Leadership & Strategic Partnership • Act as a thought partner to the COO, anticipating needs and proactively solving challenges. • Provide decision-support data by gathering, analyzing, and summarizing key insights. • Research industry trends and prepare executive briefings. • Assist in the planning and execution of leadership meetings, offsites, and training sessions.
Project & Special Initiatives Management • Organize and manage special projects across multiple departments. • Support process improvement initiatives using Lean principles. • Coordinate cross-functional teams to ensure project deadlines and objectives are met.
Operational Excellence & Data Organization • Maintain operational records, reports, and documentation with accuracy. • Organize and analyze data to identify trends and areas for efficiency improvement. • Assist in continuous improvement initiatives, making suggestions for company-wide enhancements.
Communication & Relationship Management • Coordinate visitor tours of the facility. • Foster a positive company culture through internal communications and engagement initiatives. • Represent the company at trade shows or events, engaging with customers and stakeholders.
MINIMUM QUALIFICATIONS
Experience in executive support, project management, or administrative leadership.
High school diploma, GED, or relevant experience equivalent.
Exceptional written, verbal, and interpersonal communication skills.
Strong organizational skills with an eye for detail.
Ability to manage multiple priorities and adapt to shifting deadlines.
Experience with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
A proactive mindset—anticipates needs before they arise.
Ability to problem-solve creatively and think critically.
Strong discretion in handling confidential and sensitive information.
IDEAL CANDIDATE QUALIFICATIONS
5 + years experience in executive support, project management, or administrative leadership.
Familiarity with Lean Manufacturing, Continuous Improvement principles, and EOS.
Experience working with data organization and analysis.
Experience with event planning, scheduling, or corporate communications.
Proficiency in international compliance.
Bilingual (Spanish) preferred.
